AP automation software for property managers, compared

Accounts payable in a property management company is harder than in most businesses. Every bill has to be coded to a property, sometimes split across several, and approved by someone who is not in accounting. The products below approach that in very different ways, and the biggest differences are not features. They are how you buy, whether the tool pays your vendors, and where the approved bill ends up.

AppFolio is not in the table because it is a property management system rather than a separate AP tool, but if you run it, read the section on it below first.

Do you need a separate AP tool at all?

If you run AppFolio, it already has bill entry and approvals built in, and its site describes paying vendors by eCheck and mailed check. AppFolio is sold by quote, with a 50-unit minimum on its Core plan. If those built-in bills are working for you, a separate tool has to earn its place by doing something they do not.

The products, one by one

LeapAP

Built for property management companies, including condo and HOA managers. Its site names a long list of systems it works with, among them Yardi Voyager, Rent Manager, Buildium, Condo Manager, QuickBooks Online, QuickBooks Desktop and Xero. Pricing is a per-invoice fee, optional payment fees and a setup fee, with no figures published; you start with a demo, and it offers a pilot. It can pay vendors by check, EFT or virtual card. A strong fit if you want one company to handle invoices and payments and your bills need to land in a property management system.

AvidXchange

Accounts payable and payment automation for many industries, with dedicated real estate and community association pages. It names a wide range of property management systems, among them Yardi, MRI, Rent Manager, ResMan, RealPage, AppFolio and Buildium. It pays vendors by virtual card, direct payment and paper check, and states 2-way and 3-way PO matching. No price is published; you start with a demo. A fit for larger portfolios that want payments and a property management system connection from one vendor.

Bottomline (formerly Nexus)

Accounts payable automation for real estate, under Bottomline's name now that the Nexus product page redirects there. It says it works with over 30 property management systems, among them MRI, Entrata, RealPage and Yardi, pays vendors by virtual card and ACH, and states 2-way and 3-way matching. No price is published; you start with a demo.

Factura

Built for multi-location businesses, with a property management page that says it matches invoices by property, owner and entity. It names Yardi and Entrata, and pays vendors by ACH, virtual card and check. Pricing is per location or per invoice, never per seat, with no figures published; you start through sales.

Vergo

Expense and accounts payable software with a property management page that says invoices are coded to property and unit. It names 19 property management systems, among them AppFolio, Buildium, Yardi Voyager, Entrata and Rent Manager. It publishes a per-invoice price of $0.50 but not its platform fee, and you start with a demo.

Stampli

Procure-to-pay software for general business, with a real estate page. It pays vendors by ACH, check, virtual card and international payment, and states 2-way and 3-way matching. Its systems are mainly ERPs; for real estate it names Yardi, by file, and Sage 300 CRE. Pricing is by quote.

BILL

The best-known accounts payable and receivable product for general small business. It is the only product here besides inletAP that you can sign up for on your own. It charges $49, $65 or $89 per user a month, with discounts for approver-only users, and fees per payment such as $0.59 for an ACH payment. It pays vendors by ACH, check and card, and lists 2-way matching on its Corporate plan. It names QuickBooks Online and Xero among its accounting systems and no property management system. inletAP

Ours. Accounts payable for property management companies on QuickBooks Online or Xero. Every bill is checked against what that vendor billed for that property before, against your approval thresholds and against the invoices you already hold. Property, unit, entity and GL account are fields on every invoice, one invoice can be split across properties, approvals route by amount and property, and approved bills post to QuickBooks Online or Xero, or export as a CSV you define. Prices are published, from a free plan of 25 documents a month to $249, with unlimited users on every plan, and you can sign up without a call.

Two things it leaves to you today: inletAP does not pay vendors yet (payments are on its roadmap), so approved bills land in QuickBooks Online or Xero ready to pay from your ledger or your bank; and connectors to property management systems such as AppFolio, Buildium, Yardi and Rent Manager are on its roadmap, with the first customers on each system deciding the order. Until then, bills bound for one go out as a CSV whose columns you define, for a system that imports bills from a file.

How to choose

Four questions narrow this list quickly.

  1. Do you want the same company to pay your vendors? Most products above do today; Vergo does not say, and inletAP has vendor payments on its roadmap and hands you approved bills to pay from your ledger until then.
  2. Must approved bills land in a property management system? If yes, look at LeapAP, AvidXchange, Bottomline, Vergo or Factura, and confirm your exact system with them. If your books are in QuickBooks Online or Xero, BILL and inletAP post there.
  3. Do you want to see the price before talking to anyone? Only BILL and inletAP publish full prices; Vergo publishes part of its price.
  4. How many people approve bills? Per-user pricing charges for every approver. Per-invoice and per-location pricing does not.

Common questions

What is the best AP automation software for a small property management company?

It depends on whether you need the tool to pay vendors and where your books are. A small company on QuickBooks Online or Xero that pays vendors itself can start on a published, self-serve plan such as BILL or inletAP. A company that wants payments handled and bills sent into a property management system should look at LeapAP, AvidXchange, Bottomline, Factura or Vergo, and expect to start with a demo.

Which AP automation tools publish their prices?

Of the products on this page, BILL and inletAP publish full prices. Vergo publishes a per-invoice price of $0.50 but not its platform fee. LeapAP and Factura describe their pricing model without figures, and AvidXchange, Bottomline and Stampli ask you to book a demo or request a quote. AppFolio is sold by quote.

Which of these tools pay vendors?

LeapAP, AvidXchange, Bottomline, Factura, Stampli and BILL all describe paying vendors, by some mix of ACH, check and virtual card. AppFolio describes eCheck and mailed check payments. Vergo's site does not say. inletAP does not pay vendors yet; vendor payments are on its roadmap. Today it posts approved bills to QuickBooks Online or Xero, and you pay them the way you already do.

Which tools do PO matching?

AvidXchange, Bottomline and Stampli state 2-way and 3-way matching. BILL lists 2-way matching on its Corporate plan. inletAP does 2-way PO matching with balance tracking on every plan, and does not check goods received. LeapAP, Factura, Vergo and AppFolio do not state PO matching on the pages we read, which does not prove they lack it.
