What does it cost, actually?

The free plan covers 25 processed invoices a month with no credit card. Paid plans are $39 for 150 invoices, $99 for 500, and $249 for 1,500 a month. Users are unlimited on all of them, so putting every owner, property manager and approver in the system does not change the bill. Invoices beyond the allowance are $0.35, $0.25 or $0.18 each depending on the plan. Annual billing saves 17%. Prices are in US dollars and exclude sales tax, which is added where it applies. How long before it is doing useful work?

Signing up creates the workspace and issues your first intake mailbox in the same session, so you can forward a real vendor invoice and see the result immediately. There is no implementation project, no professional services engagement and no onboarding fee. Vendor mappings and approval tiers are added as you go.

Question 3

Do I need to replace my property management system?

Accepted Answer

No, and you should not. InletAP is not a PMS and not a general ledger. It automates the invoice inbox in front of the systems you already run and hands them coded, approved bills. Every migration you do not have to do is risk you do not have to carry.

How does this protect against duplicate payment?

Accepted Answer

Three passes. At ingest, on message ID, attachment fingerprint, and a vendor / invoice-number / date / amount match, so the same invoice arriving twice or forwarded from a second address is caught before it reaches an approver. During review, against every invoice you already hold from that vendor. And again immediately before the bill is exported. A top-tier match cannot post to your ledger until a person decides — the only thing in the product that stops anything. Published estimates put duplicate payments between 0.1% and 2% of payments, a wide range because the studies disagree, and the useful part is that you can see your own number rather than an industry one.

What do I show an owner who asks whether anyone checks these bills?

The record. Every bill is compared against what that vendor charged for that property before, against your approval thresholds, and against the invoices you already hold; every finding, acceptance and dispute is written to the audit trail with a person and a timestamp. That is the artifact you forward to an owner or take to a board — a control that ran on 100% of bills, with the decisions attached. It is not a claim that software finds everything: the published research is clear that automated monitoring surfaces a small share of cases first, and that its value is in how much sooner and how much smaller the losses are. Firms using proactive data monitoring reported 53% lower median losses and detected 44% faster (ACFE, Report to the Nations, 2026).

Can I get separation of duties without hiring more people?

That is largely what the approval tiers are for. Role-based access separates who can edit coding from who can approve, thresholds decide how many approvals an amount requires, and approvals are irreversible and attributed. A small team can run real controls because the policy is enforced by the system rather than by headcount.

One vendor bills several of my entities on one invoice. Whose books does it land in?

Each entity's own. The invoice is split across the properties it covers, and where those properties keep separate sets of books it posts as one bill per QuickBooks company — each carrying only that company's share and each traceable back to the same original email. An owner reviewing their statement sees their own numbers rather than a portfolio total with a note attached. What InletAP does not do is post intercompany due-to / due-from entries; consolidation stays with your accountant.

What is deliberately not in the product?

Payment rails. InletAP does not move money — no ACH, no check disbursement. It produces approved, coded bills in your ledger and payment continues to happen where it happens today. It is also not a rent collection or leasing system.
