Delete your account

This page is for inletAP, the accounts payable app and website by MZ Industries. It shows how to delete your inletAP account, what we delete, and what we keep and for how long.

You can delete your account yourself, in the phone app or on the web. You do not have to write to us.

How to delete your account

In the phone app

  1. Sign in to the inletAP app.
  2. Open the More tab.
  3. Under Account, tap Delete account.
  4. Follow the screen. What it offers depends on your workspace (see the next section).

On the web

  1. Sign in at inlet-ap.com.
  2. Open Data & privacy in the sidebar. A read-only external approver opens it from the profile menu, where it is called Your data.
  3. Use Delete my login. If you are the only person in the workspace, use Delete this workspace further down the same page.

If you cannot sign in, write to privacy@inlet-ap.com from the address you sign in with (see the last section).

Which deletion applies to you

A workspace is your company's shared space in inletAP. The app and the web check your workspace and show you one of these paths.

You are the only person in the workspace

Deleting your account deletes the whole workspace too, and your login with it.

  • In the phone app, choose Delete now or Delete on a date 7 days from today. Then type the workspace name and tap Delete my account.
  • Delete now starts as soon as you confirm. There is no undo. It is offered only when nobody else works in the workspace, QuickBooks Online and Xero are not connected, there is no paid subscription and no copy of the workspace is being prepared. Otherwise the app says why, and the workspace is kept for 7 days.
  • On the web, Delete this workspace asks you to type the workspace name, then Schedule the deletion. The web always waits the 7 days.
  • During the 7 days nothing is deleted. Everyone in the workspace keeps working normally. Any admin can stop it with Cancel the deletion, in the app or on the web.
  • Every admin gets an email when the deletion is scheduled. When it is done, we email the person who asked and every admin.

Before you delete, an admin can download a copy of everything: Workspace archive, then Request archive, on Data & privacy. The download link works for seven days.

You were invited to the workspace

You delete your own login. The workspace stays.

  • Tap or click Delete my login, then Delete.
  • You are signed out on every device. There is no undo.
  • We email you to confirm.

This path also applies to an admin when the workspace has another admin.

You are the only admin, and other people work in the workspace

You cannot delete only your login yet. First make someone else an admin in Settings → Team on the web, then delete your login. Or delete the workspace for everyone, as described above.

You are in more than one workspace

Deleting your login removes you from every workspace you are in. If you are the only admin or the only person in one of them, deal with that workspace first. The screen tells you which one.

What we delete and what we keep

When you delete your login

Deleted straight away:

  • Your login, your email address, your notification settings and the push registration of any phone you signed in on.
  • Your in-app notifications, and the record of what you agreed to in the app.

Kept by the workspace, for as long as the workspace exists:

  • The invoices, approvals and history you worked on. They are your company's accounting record, so your name stays on the approvals you made and on the audit trail entries you made.
  • A line in the workspace's audit trail that says you left.

When a workspace is deleted

What goes, permanently:

  • Every invoice, the fields we extracted from them, the allocations and the approvals
  • Every uploaded document and every original email we still hold
  • The audit trail, the rules, the vendors, the properties and the units
  • Everyone's access, including yours. We revoke your QuickBooks connection at Intuit first, before anything else is deleted, so the grant is gone even if the rest of the deletion is delayed

The login of every member who is in no other workspace is deleted too.

What we keep, and why:

What we keepHow longWhy
Stripe billing and tax records6 years from the end of the tax yearCanadian tax law requires it. It is not our choice and we cannot waive it.
A record that this deletion happened24 monthsTo prove to you, and to a regulator, that we did it.
Any incident record that mentions this workspace24 monthsCanadian privacy law (PIPEDA) requires us to keep records of security breaches.
Copies inside our database backupsUntil those backups expire. We do not publish a window yet, and we will confirm the current one in writing if you askBackups are taken on a schedule and expire on their own. We cannot cut one workspace out of a backup.
Counts that identify nobody, such as how many workspaces existNo end dateNothing in them can be tied back to a person or to the workspace.

Our application logs are kept 30 days, whatever you delete.

Delete some data without deleting your account

You can remove or limit some data and keep your account.

  • Stop the phone sending invoices to be read. In the phone app, open More, then How invoices are read, then Withdraw my agreement. Capture and Share stay off on this account until you agree again. Invoices emailed to your workspace are still read. Invoices already read are not deleted.
  • Remove a phone. Sign out of the phone app. That deletes the phone's push registration.
  • Keep raw email for less time. An admin sets Keep raw email for under Data retention on Data & privacy. It can be anything from 30 days to ten years, and it is 90 days until an admin changes it.
  • Leave one workspace and keep your login. Ask an admin of that workspace to remove you in Settings → Team. Your login and your other workspaces stay.
  • Get a copy first. Anyone can use Request my data on Data & privacy to download what we hold about them.

There is no button to delete a single invoice or approval, because they are your company's accounting record. Ask an admin of your workspace about the workspace's own records.

Ask us by email

To ask us to delete specific data, write to privacy@inlet-ap.com and say what you want deleted. You can also write by post to the address on the privacy policy.

  • We check who you are first, usually from your account email and with your workspace admin. We ask for no more than the request needs.
  • We answer within 30 days for a request under Canadian law, and within 45 days for a request under California law. If a complex request needs more time where the law allows it, we tell you in writing first.
  • If we refuse, we tell you why in writing, and how to appeal.
  • If your details reached us on another company's invoice, we pass your request to that company and help them answer it.
